Short Description     

Our client is looking for an Assistant to start working urgently.

Duties Responsibilities

  • To co-ordination of all operational activities and departments to ensure smooth running of the day-to-day activities.
  • To identify and implement process improvements/other improvements to increase efficiency and quality of work/products/service within the practices.
  • To monitor the practices’ emails to ensure all necessary activities are attended to.
  • To build relationships with current and potential clients as and when they visit the practice.
  • To communicate all relevant information to external service providers to ensure the websites are updated and a good reflection of the company’s brand/services at all times.
  • To provide input into and oversee the social media plan as well as execution thereof by the external service provider to ensure the content shared is relevant and effective.
  • To ensure regular stock takes of the shops and practices are performed and is done accurately.
  • To up-date the online store to ensure it reflects the correct stock levels/availability at all times.
  • To draft and analyse shop sales reports and make suggestions to increase shop sales.
  • To pro-actively order relevant stock items for the shop and practices to ensure efficient stock levels and no out-of-stock items.
  • To review daily cash-ups.
  • To perform reconciliations of payments (statements/bank account/card payments).
  • To oversee creditors book.
  • To manage the debtor’s book through pro-active follow-ups on outstanding payments to ensure it is kept to a minimum.
  • To record keeping of financial transactions.
  • To identify and implement cost saving initiatives to improve company profitability.
  • To ensure good communication between employees.
  • To resolve conflict as and when needed between employees.
  • To provide employees with regular feedback on their performance.
  • Plan, draft and oversee the staff schedules.
  • To provide on-the-job or other forms of training/up-skilling to team as and when needed.
  • The team of veterinarians, nurses, receptionists, assistants and cleaner reports to this role (about 20 employees).
  • To understand and adhere to the company’s Operating procedure as well as Health and safety procedures and also ensure their team adheres to these.
  • Any other reasonable task required by company.
  • To desired Experience & Qualification


  • Must have BComm, BVSc or DVN degree (advantageous but not needed).
  • Must have minimum of 2 years’ experience in a similar role/responsibility (examples would be practice manager of a medical/dentist/veterinarian practice, nurse or matron with similar responsibilities within these practices).
  • Must have product knowledge (advantageous but not needed).
  • Code B Driver’s license and reliable transport to travel between the practices.
  • Must have good physical health.
  • Must have previous experience in managing teams is important.
  • Must have previous experience in overseeing stock.
  • Must have previous experience in performing some financial activities for a company.
  • Must have great communication and interpersonal skills.
  • Must have good time management skills.
  • Must have good planning & organising skills, as well as project management skills.
