Short Description     

Our client is looking for an Assistant to start working urgently.

Job Responsibilities

  • To greet all visitors and colleagues in a friendly and warm manner;
  • To deal with all enquiries in a professional and courteous manner;
  • To keep the reception area presentable at all times;
  • To direct all customers to the correct department;
  • To ensure all visitors, contractors and customers sign in and out of the register book;
  • To update register in an emergency evacuation;
  • To purchase office stock from internal stores as required;
  • To obtain quotes regarding office equipment when required;
  • To pesponsible for monthly stationary stock take, maintaining stationery levels and to reorder as necessary;
  • To responsible for obtaining access cards for new employees at SSC and to load employees on Kronos
  • To liaise with courier to collect parcels when required;
  • To report issues and problems with printers to the service provider and follow up until resolved;
  • To maintain and control the petty cash;
  • To update invoice breakdowns and forward to the Financial Accountant at month end;
  • To draft requisition to purchase (RTP) for approval express;
  • To draft goods received voucher (GRV), print order and receive the order, send through for scanning and capturing in Accounts Payable;
  • To book and manage boardroom availability;
  • To perform Contact Centre agent duties as and when required;
  • To answer calls and respond to multimedia communication received in a professional manner;
  • Accurately identify and resolve issues, and escalate priority issues;
  • Route calls to appropriate resource;
  • Resolve 60% of all incoming queries;
  • Follow up on customer and client calls where necessary;
  • Document all call information;
  • Collect office supplies as required;
  • To keep Contract Centre Team Lead informed of all other relevant events; and
  • To perform ad hoc duties as and when required within reasonable job scope.
  • Must have matric Certificate with Maths and Accounting; and
  • Customer Relationship Management Principles Certificate advantageous.

Requirements:

  • Must have minimum three (3) years’ working experience as an Office Administrator;
  • Must have valid Driver’s License;
  • Own Transport;
  • Accounts Payable, Accounts Receivable, Human Resources and Personnel Administration knowledge advantageous;
  • JDE and Educos System experience advantageous;
  • Must have microsoft Office Competence.
