Short Description     

Our client is looking for an Assistant to start working urgently.

Key Requirements :

  • Must have grade 12 Certificate.
  • Must have relevant certificate, Diploma or Degree in Secretarial Studies
  • Must have office Management / Office Administration/ Informatics
  • Must have 2-3 years recognizable experience will be an added advantage.
  • Computer literacy.
  • Must have a proficient user of Microsoft office suites and may be subjected to a test.
  • Must have certificate of Microsoft package.
  • Must be reliable, punctual and professional.
  • Must be creative and able to use own initiative.
  • Must be able to prioritize and have exceptional attention to detail.
  • Must have ability to work under pressure and meet tight deadlines.
  • Must have knowledge of Mobile Device management will be an added advantage.
  • Must have valid drivers license.

Duties and Responsibilities:

  • To overall management of the office administration function.
  • To provide a secretarial/ receptionist support service to the Director ICT.
  • To take minutes during meetings and compile minutes’ files. Consolidate ICT directorate reports.
  • To coordinate logistical arrangements for meetings when required.
  • To manage the office Diary and arrange appointments.
  • To receive visitors and Document management.
  • To assist with relevant procurement of goods and services.
  • To handle and maintain office records.
  • To management databases and the Director’s to do list.
  • Photocopying, binding, scanning, mentor interns.
  • To prepare Director’s presentations.
  • To keep abreast with processes and procedures that apply in the office of the Director.
  • To record of Action Plans and their follow-ups.
  • To provide document tracking tool and filling system and maintain confidentiality.
  • To compliance to Batho Pele and Customer Care Practice.
  • To timeously operate and collate Agendas in consultation with Committee Chairpersons. To ensure stakeholder management support and ensure availability of stationery.
  • To take accurate message and transfer calls to relevant managers.
  • To administration of mobile devices and photocopiers.
  • To provide administrative support for Mobile devices. Collate monthly reports on Photocopier utilization.
